We are looking for an efficient and hardworking individual to run the day-to-day office-related activities.
Office Manager is responsible for providing outstanding, efficient support to the wider Bellavista team, ensuring the achievement of Bellavista hospitality standards and contributing to the achievement of the Bellavista vision.

Responsibilities:
Manage the day to day running of the business by ensuring efficient running of the online business systems like People planner, Care planner etc
Manage online and paper filing systems.
Develop and implement new administrative systems, such as record management.
Organise the office layout and maintain supplies of stationery and equipment and ensure adequate supply of office equipment like PCs, tablets, printers, log on systems etc
Maintain the condition of the office and arrange for necessary repairs.
Organise meetings with management staff ensuring that the concerns and demands of the acre and clinical staff working are met and making sure they are delegated to the appropriate areas
Ensure and supervise adequate staff levels to cover for staff absence or sickness.
Delegate work to the office staff and manage their workload and output.
Ensuring the Policy records of the nursing home are up to date and making sure all the staff are aware of the same and making it accessible at all times and check that data protection laws are being adhered to in relation to the storage of data.
Write reports for senior management and deliver presentations.
Respond to service users and family enquiries and complaints.
Review and update health and safety policies and ensure they’re observed.
Adhering to the procedures for considering and updating insurance policies and checking if the policies are valid and running.
Ensuring all the paperwork related to business running like waste management and inventory are appropriate.
Provide high level data entry support on a variety of projects such as People Planner, care plan via programs.
The liaison with Social Services / Council and other funders to ensure that the correct funding is in a place where applicable.
Where necessary in accordance with Company Guidelines ensure that private resident’s billing accounts are accurate and up to date.
To ensure ordering of business support/marketing materials is timely and all literature is kept up to date.
To answer the telephone promptly and deal with enquiries in a helpful, courteous, and welcoming manner, being aware of the need to maintain confidentiality at all times regarding staff and residents.
To provide administrative and clerical support and other support as may be requested from time to time by the Home Manager and other Senior Manager
